Synergy Special Education (SE) simplifies the entire special education management process, guiding team members step by step from initial referral through program exit in a collaborative environment that promotes student success. Synergy SE is more than an IEP writer, providing district-level oversight to help ensure that federal and state regulations are being met. And, because Synergy SE uses the centralized database shared seamlessly throughout Synergy Education Platform, data is accurate and consistent in real time without integrating or synchronizing with other systems.
Create and manage legally compliant versions of the IEP and all documents used in referral, evaluation, review and reevaluation for special education.
Synergy® SE helps educators generate IEPs more efficiently and track the progress of every IEP by student and school. Each special education team member has a personalized Portfolio screen that shows them which IEPs they need to work on, and when. To accelerate the IEP process, multiple team members can work on the same IEP simultaneously without overwriting one another’s work. IEPs can be automatically populated with standards-aligned goals from the searchable goal library, and external documents can be attached for greater convenience and efficiency.
Synergy® SE includes all the documents your district needs for every step of the special education process. The full suite of process documents varies by district, but typically includes documents such as Prior Written Notices, Evaluation Report, Meeting Request and IEP.
Ad Hoc documents included in Synergy SE vary by district, but can include miscellaneous documents not required for an IEP Review or Evaluation process, such as a Behavior Intervention Plan, Manifestation Determination and Review, generic Meeting Request and similar documents.
When a process document or ad hoc document is finalized, it is automatically archived as a historical document and can no longer be edited. Historical documents remain accessible to special education teams for reference purposes.
Synergy® SE features a visual timeline display of due dates for special education processes such as the IEP and Evaluation. Additional dates and timelines may be set up by the district.
Synergy® SE includes a Special Ed Calendar that enables users to see all events for all students to whom they are assigned.
Synergy® SE helps schools and districts ensure that they are meeting all state and federal regulations and reporting requirements. It starts with the inclusion of current, legally-compliant versions of all required documents for referral, evaluation, review, re-evaluation and intra-district transfer. Local administrators can view site-based student information to verify school compliance, while summary reports from all campuses provide oversight to district administrators.
A student’s historical documents can be combined into a packet and output as a single PDF file to simplify sharing with parents.
Synergy® SE enables teachers to track and document patterns of student behavior such as backtalk or inappropriate gestures. Daily classroom behavior is compared to baselines and plotted onto a graph, and the resulting record can be emailed or uploaded to historical documents as a behavior study.
Synergy® SE provides a Section 504 evaluation process for any student with a disability significantly limiting a major life activity, whether or not the student qualifies for special education under IDEA. The 504 Accommodation Plan can be created for eligible students, including dates, contacts, responsibilities and required accommodations.
Automate the entire special education process for your district, notifying stakeholders when they have tasks waiting, driving documents to completion, archiving historic documents, and freeing up time for special education and administrative staff.
Synergy® SE Processes guide users through the entire special education process, from initial referral and evaluation through IEP creation.
A built-in translation engine can automatically translate Synergy® SE document templates, tables and libraries into any language
Email notifications can be created to alert Case Managers and other staff members of upcoming events based on district defined intra-process timelines. For example, IEP Due Dates, Eligibility Decision, Evaluation Due, etc.
Synergy SE employs multiple safeguards to help ensure that data is validated, reporting requirements are up to date, and state reports meet every guideline.
Synergy® SE includes safeguards to preserve data integrity and eliminate redundancies. For example, Synergy requires users to enter the correct type of data in each field, such as only allowing numerals in a numeric field. Synergy also ensures that data validations and district-specific business rules are always enforced. In addition, nearly any field can be marked as mandatory to ensure that it is completed by the user.
Synergy® SE validates all documents for completion and requires errors to be corrected before a document is finalized. An interactive error report highlights any document input fields that have missing or incorrect information and conveniently guides users back to those fields to provide complete or corrected information.
Easily manage Medicaid information and processes, from defining providers to reporting on service history.
Synergy® SE administrators can specify Medicaid provider types (for example, Audiologist, Occupational Therapist and Physical Therapist), associate staff members with one or more provider types, and remove existing providers.
Medicaid Extracts can be generated to support district personnel with Medicaid reimbursement efforts. A related report can be run to identify and correct extract errors that would otherwise prevent reimbursement. Extracted services show up on several screens within Synergy® SE for tracking purposes.
Medicaid management is built into Synergy® SE module, enabling service providers to schedule services from a built-in Medicaid Calendar, enter the dates and times of services provided, and sign records to accompany Medicaid billing data. Individual providers can track the services they have provided to their assigned students, and administrators can track all services to all students.
Provide a secure, collaborative work environment to help teams stay on track, get things done faster, and optimize instructional support for every student.
Synergy® SE helps teams complete documents faster and more efficiently by enabling multiple team members to work in a document simultaneously without overwriting other members’ work.
Synergy® SE gives all team members assigned to a student instant access to the complete student case file, including historical information, scanned documents and in-process documents.
Synergy® SE makes it easy for administrators to view, manage, and report on student caseloads for special education team members.
Districts can define role-based user groups to simplify Synergy® SE team assignments and access settings. By setting security at the user group level, staff member access can be limited to the specific document sections they need to edit based on their role. Access settings may also be set for individual users, overriding group levels for greater flexibility.
Synergy® SE provides the highest level of privacy and security in compliance with FERPA and HIPPA requirements. Comprehensive access management that enables access settings to be fine-tuned down to the level of fields and individual users, and full audit trail capabilities can track detailed information associated with every change made within Synergy. In the event of a hardware failure, Synergy’s single, centralized database simplifies data restoration, and Edupoint’s approach of continuously evolving our technology means that your data and application software are protected against risk from generational change.
Special education team members can create real-time private discussion Streams for ongoing 1:1 or group discussions. Instant file sharing makes collaboration easy, and new participants may be added to a Stream at any time. Parents and students can be easily included in discussions in districts where the ParentVUE® and StudentVUE® web portals or mobile apps are used.
Built-in parent communication documents help engage parents in the special education process every step of the way. It’s simple to create and send documents from the document library, including Prior Written Notice of Referral, Parent Permission documents, Meeting Requests and more. Plus, parents have access to the students' current IEP, progress reports, and upcoming review and evaluation dates via the ParentVUE® web portal or mobile application.
Synergy SE is simple to navigate and use, so everyone on your team can get more done in less time, reducing training costs and boosting user satisfaction.
A fresh, new interface features a host of improvements that make Synergy® SE faster and simpler to use than ever before, including hover navigation, bookmarks, session history with links to return to recently visited pages, and the ability to launch any screen, report, or process by typing just the first few characters of its name.
Dynamic find enables Synergy® SE users to search any field from any screen to find the right information quickly and easily.
When adding or editing dates in the Synergy® SE Interface, users can simply select the desired data from a calendar to speed up data entry.
Synergy® SE includes pre-built staff and student reports for immediate use. Standard reports can be modified to include custom data, scheduled for maximum convenience, and emailed to specific users or saved to a designated server location. MS Office integration simplifies mail-merge processes and provides support for multi-language merge documents.
Spell check can be applied throughout Synergy® SE to reduce errors. Users can add words to the standard dictionary and set spell check options to ignore web addresses, repeated words, words with specific capitalization patterns, and more.
The SE VUE Mobile app enables special education service providers to schedule meetings with staff and parents, track behavior, and document Medicaid services on the go. SE VUE users can access their portfolio, current and historical student documents, and student team information as well, and IEP signatures can be captured digitally from staff, parents, and students for greater convenience.
Synergy® SE enables districts to provide a pre-written, searchable goal library in the IEP. Student goals can auto-populate from the goal library to accelerate the IEP process, and personal goal libraries can be easily created for individual students directly from the IEP. Goals can be aligned with state and district standards, filtered by grade and need, and searched by strand (concept/performance objective).
Synergy® SE is seamlessly connected with all products across the Synergy Education Platform for maximum efficiency and convenience. Synergy SE student data auto-populates from Synergy SIS, eliminating duplicate data entry and ensuring accuracy. Teachers who believe a student may require special education services can initiate the review process from the TeacherVUE Gradebook in Synergy LMS, and if the child study team agrees, the student can be pulled into Synergy SE with all the information from the teacher’s request. Districts can also elect to provide teachers with static copies of their students’ finalized IEPs right in their gradebook. Parents can access the students' current IEP, progress reports, and upcoming review and evaluation dates within the ParentVUE® web portal or mobile.
To ensure document accuracy and eliminate redundant data entry, demographic information from Synergy® SIS auto-completes all Synergy SE document headers. Other data elements such as student’s attendance history and medical screening results will also populate into appropriate documents.
Your district has unique needs, so we designed Synergy SE with the flexibility to do things the way you do.
Synergy® SE enables districts to match the business practices they already have in place – with decision points, role definition, role assignments and timeline enforcement. Email alerts can be scheduled to notify team members of upcoming events on the timeline, helping to prevent skipped or missed steps and improve productivity.
Districts can define and expand the reporting functionality in Synergy® SE to meet their specific needs. Synergy’s robust query and reporting tools make it easy to develop and store queries, save queries as custom reports, and schedule reports for automatic email delivery to selected staff members. Data conditions can be applied to any report, allowing further customizations with just a few simple clicks.
Synergy® SE supports the creation of user-defined fields and tabs at any time to capture new data elements.
Synergy® SE provides additional customization options for maximum flexibility, including special education and district tests, goal and statement libraries, disability categories, accommodation strategies and special education services, and document validation fields.
Synergy® SE enables districts to run IEP and 504 processes concurrently if needed. This feature can help prevent service gaps for students moving between plans and allows districts to manage both processes simultaneously for the occasional student who might need both plans.
When California increased its special education management, data collection and reporting requirements, Paramount USD struggled to comply. Then the district replaced their outdated software systems with Synergy SE, automating processes to improve IEP management and state reporting accuracy and efficiency.
